SOUTH WOOD COUNTY YOUTH HOCKEY ASSOCIATION Board of Directors’ Meeting Minutes Dave Steinhilber’s Home December 4, 2006
Attendance: The meeting was called to order at 7:15 PM by President, Dave Steinhilber. Board Members present were Bernie Esselman, Eileen Hillila, Daniel Janik, Doug Kreuser, Kelly Lamb, Jane Overfelt, Daniel Paulsen, Lynn Schroer, and Dave Steinhilber. Absent: Candy Blakeslee, Carmella Lyp, and Tim McNaughton
A special meeting was held in response to a formal request from South Wood County Rec Center (SWCRC). SWCRC is asking SWCYHA for a monetary commitment to help fund the purchase of a new electric Zamboni. Wood Trust Bank donated our existing Zamboni in 1992; it will have over 4000 hours logged on it by the end of the 2006-07 season. Our Zamboni was repaired last summer at a cost of $5,300 with additional recommend repairs, if all repairs were completed, the cost would have exceeded $26,000. We are long overdue for a new Zamboni.
SWCRC will be placing a purchase order for a new electric Zamboni prior to December 31, 2006 at a cost of approximately $100,000. An Order placed after January 1, 2007 is subject to a 5% price increase, the current backlog is 210 days from placement of the order with delivery expected in early July. An electric vs. gas Zamboni was discussed. The benefits of an electric Zamboni far exceed those of a gas Zamboni. The electric Zamboni will require less overall maintenance, no gas use and be acceptable to environmental emission guidelines required for any enclosed structure.
Currently, SWCRC has $15,000 set aside for this purchase. SWCRC has also received a $35,000 donation commitment from Wood Trust Bank.
The SWCYHA board agreed that a donation should be made for the new electric Zamboni. A discussion was held on the amount of a monetary commitment from SWCYHA to SWCRC for the new electric Zamboni purchase. The Board reviewed and discussed funds currently held in our money market and checking account. Also discussed were the current budget status and the minimum balance required for monthly operational payments, including but not limited to ice and concession rental. The current balance in the money market account was $38,000; this money is set aside primarily for capital purchases or emergencies. $20,000 of the money market is from monies accrued annually through a soft drink beverage contract with the Pepsi Corporation; the contract will expire on 3/1/2007. The Board also discussed that if SWCYHA did not commit to the funding of the new electric Zamboni purchase, the cost would likely be directed to ice rates in subsequent years. The simple fact remains that the Zamboni is an integral piece of equipment and will benefit everyone within our organization and community.
A motion was made to commit $20,000 to the SWCRC for the purchase of a new electric Zamboni. Funds will be provided from the Pepsi contract monies held within the money market account. M2 (Kreuser/Lamb) Approved (unanimous)
The Board also voted to reimburse the Patterson family the full registration fee for a skater that transferred from SWCYHA to the WIAA Girl’s (PRGHBC) team M2 (Esselman/Kreuser) Approved. A skater transfer policy will be written prior to skater registration next year
The next meeting has been scheduled for Monday, December 18, 2006, 7:00 PM, at the South Wood County Rec. Center.
