SOUTH WOOD COUNTY YOUTH HOCKEY ASSOCIATION Board of Directors’ Meeting Minutes South Wood County Rec. Center January 22, 2007
Attendance: The meeting was called to order at 7:15 PM by President, Dave Steinhilber. Board Members present were Candy Blakeslee, Bernie Esselman, Eileen Hillila, Daniel Janik, Kelly Lamb, Tim McNaughton, Jane Overfelt, Lynn Schroer, and Dave Steinhilber. Doug Kreuser and Dan Paulsen were absent.
President’s Report: Dave Steinhilber reported that Dan Houtari is putting together a software development system for SWCYHA. This system will give SWCYHA reporting capabilities and will enable us to put registration information, volunteer hours, bookkeeping data, etc. all on one program. E-mails can also be sent from this system. This system will be built to fit the needs of SWCYHA. Dan Houtari will build a test system for $200. If this system works to fit the needs of SWCYHA, $100 per month will be charged to operate and maintain the system. This fee will never go up and will probably go down once we get it going. A motion was made to approve funding of the accounting data/software development system. M2 (Lamb/Blakeslee) carried.
Steinhilber also reported that Jim Kollock will be turning over his position as equipment coordinator at the end of the 2006-07 season. Brian Reimer will be taking it over. Kollock is also resigning his position website administrator. A new website needs to be built for the 2007-08 season. SWCYHA is looking for someone who may be interested in taking this position over. SWCYHA thanks Jim Kollock for his service.
WAHA State: The cost for teams going to State this year is $625 for the Club team and $525 for the rest of the association. Teams are allotted $400 from SWCYHA for tournaments this year. A check was sent from SWCYHA earlier in the season to cover all teams that were interested in trying for State. Any team that makes it to the State tournament needs to reimburse SWCYHA the remaining cost (above $400). Teams that do not qualify for the State tournament will be reimbursed $325 because the State charges a $75 non-refundable fee.
Volunteer Hours: The total amount of volunteer hours that each family needs to work for the 2006-07 season is 30. The following is a list of hours that volunteers in specific positions will be given: Head Coaches: 25 (squirt and above) 15 (mite) Assistant Coaches: 20 (squirt and above- 2 per team) 10 (mite L3,L4- 2 per team) 5 (mite L2) Team Managers: 25 Concessions Inventory Manager: 25 Tournament Director: 25 Volunteer Hours Coordinator: 25
Board Openings: Four three year terms and one two year term are available. Nominations will be accepted beginning in February. Eileen Hillila, Candy Blakeslee, and Jane Overfelt are the Board members on the committee. Association members on this committee are Jenni Derks and Patty Weinfurter.
Coaching Reimbursement: SWCYHA reimburses coaches who take the classes to receive their Level 1, 2, and 3 certificates. Discussion was held on whether or not SWCYHA would pay to reimburse coaches who chose to get their Level 4 card. A motion was made to reimburse coaches who receive their Level 4 cards the amount of a Level 3. M2 (McNaughton/Lamb) Approved.
Codes of Conduct: A Board Code of Conduct, a Parent Code of Conduct, and a Coaches Code of Conduct has been put together to be reviewed and revised by the Board. These codes will be put into effect for the 2007-08 season.
Concessions: A motion was made to spend $200 on a pizza maker and a CAMBRO for the concession stand. M2 (Lamb/Janik) Approved.
The next meeting has been scheduled for Monday, February 26, 2007, 7:00 PM, at the South Wood County Rec. Center.
